Reports to the Luxurique Chief Operating Office and CEO : The Luxurique General Affairs Manager will be responsible for all aspects of Luxurique’s HR, Finance, Legal and Procurement functions , across the functions and Luxurique portfolio of services. In addition, the General Affairs Manager will lead the company’s efforts for External Relations, Offices, Business Licensing, and internal Business Performance reporting. Note : Initially the Luxurique General Affairs Manager will work with and manage external suppliers/partners for Finance/Accounting, HR and Legal function to perform the role.

Major Responsibilities of the role are:

​

  • HR: Working with Luxurique leadership and external partner to define and execute all HR related activities and processes including government/legal obligations, including reporting and audits

  • Finance: Working with partner to ensure all

  • Legal: Working with Luxurique leadership and external partner to effectively the business’ legal and contracting needs – including standard contracts

  • Procurement: Working with internal teams to ensure Procurement is done in an effective and complaint manner

  • Offices: Manage company’s existing offices, leases, and landlord relationships plus work with leadership to plan future requirements and expansion plans

  • Business Licensing and Certification: Monitor requirements, plan and execute all required company licensing and operational business certification including involvement in implementation of new business lines

  • Business Planning processes and Performance reporting: Support Luxurique’s executive team in performing its financial management, Budgeting and Forecasting processes to ensure effective business management. This includes preparation of financial reports and analysis and driving the governance process for regular meetings etc

  • Asset Management: Create, maintain, and manage processes to control company assets.

  • Functional Processes and Procedures: Maintain and continually improve operational processes/systems which support efficient HR, Finance, Legal and Procurement functions

ROLES AND RESPONSIBILITIES

General Leadership: Represent the company at senior management level to drive the required company results through personal and team contribution

External Relations: Drive and manage the company’s strategy and plan for maintaining excellent external relations.

Projects and service delivery: Project management to project objectives, deadlines, and budgets all related projects for this function

Supporting new Sales and bids: Work with Sales to support new bids and projects – as it relates to HR, Finance, Legal and Procurements aspects of the deal

Team management and Staffing: Lead the team managing and assigning workloads, maintain the required skills and resource levels for success

Performance monitoring: Create, monitor, and manage metrics to the GA functions perform to expected quality levels

Financial/Budgets: Maintain team/functional budgets, track and manage spending

Data management and security: Maintain and keep secure organized function related data

New support requirements: Work with leadership and internal teams to understand when new or improved support is required from the HR, Finance, Procurement and Legal functions

Reporting and Communication: Accurate and timely reporting of functional performance : project/service quality/budgets/people

QUALIFICATIONS

Experience:
 

  • Minimum 5 years work experience - required

  • Experience leading and managing teams - required

  • Experience in Travel related Sales, Itinerary/plan production and Events delivery. Travel or Event industry experience in the Hospitality sector – preferred

  • Experience of interfacing and communicating with Customers - required

  • Experience of leading Projects and service delivery - required

  • Experience and proficiency in producing reports and presentations - required

  • Use of MS Presentation, XL and Word packages - required

Education:

 

  • Native Japanese, minimum Business English with over 800pt for TOEIC or equivalent

  • 4-year Bachelor's Degree
